Filling an open position takes 42 days on average, according to SHRM’s 2016 Human Benchmarking Report. That’s nearly a month and a half a role sits open as the company tries to find the right person to hire.

Many companies get off to a fast start but hit a bottleneck when it comes time to conduct interviews. A Glassdoor survey found that the interview stage takes an average of 22.9 days – accounting for more than half the time from posting a job description to a new hire joining the company.

Arranging a day and time for a candidate to come in is often the cause of the inefficiency. The recruiter or hiring manager has to review each interviewers’ calendar, find a time that works for everyone and hope the candidate is also available. And this process must be done multiple times, depending on how many people will be interviewed.

So what can organizations do to streamline the interview stage?

Trakstar Hire’s new self-scheduling tool lets users present candidates with a list of time slots interviewers are available. The candidate can then select the day and time that works best for them. There’s no need to collect availability from multiple people and for lengthy back and forth exchanges with candidates.

Here’s how the new self-scheduling tool works and the advantages of using it:

Pre-suggested time slots based on interviewer availability – Hire integrates with your interviewers’ calendars and auto-suggests slots based on common availability. There’s no need to jump between different calendars to find times that work for everyone.

Power to the user – The person in charge of scheduling the interview can override suggested time slots if needed. This is useful in scenarios where an interviewer’s calendar might be blocked by an event but the scheduler knows the interview should take priority.

Avoid double booking  – Hire takes care of scenarios where an interviewer’s availability changes between when slots are suggested to a candidate and when the candidate picks a slot.

Flexibility – Did a new event pop up on an interviewer’s calendar just after sending available slots to the candidate? No hassle, you can re-suggest time slots. The calendar event gets booked only after the candidate confirms a day and time so the suggestions can be changed any time before that point.

Improved candidate experience – Coming in for an interview is a major undertaking for the candidate. Letting them select the day and time they prefer gives them a positive perception of your company and sets them up to present the best version of themselves.

Seamless and consistent user experience – The UI experience is seamless for both the person in charge of scheduling the interview and the candidate selecting a time slot.

Mobile-friendly design – Candidates can view and select a slot right from their mobile device, increasing the likelihood that interviews get scheduled faster.
